FAQ

FAQ 1 – What does White Tower actually do?
White Tower provides businesses with virtual team members who take care of the everyday work that can consume your time.
Rather than simply giving you another piece of software to learn, we build virtual team members with specific roles and responsibilities within your business. They can help with marketing, social media, customer enquiries, administration, CRM updates, finance processes and more.
You remain in control. Your virtual team handles the heavy lifting.

FAQ 2 – Who are the White Tower virtual team members?
Our virtual team includes specialists designed to perform different roles within your business.
Sally – Content Creator
Creates, prepares and schedules your social media content, helping keep your business consistently visible online.
Chloe – Marketing Manager
Supports your advertising and lead-generation activity, helping turn visibility into genuine business opportunities.
Jessica – 24/7 Receptionist
Helps manage incoming enquiries and emails, responds to customers and can prepare replies for your approval.
James – Admin & Automation
Takes care of repetitive administration, CRM updates, data handling and automated business processes.
Paul – Finance Director
Supports the financial journey from invoicing and payment links through to payment chasing, tracking and financial oversight.
You don't necessarily need the whole team. You can start with the virtual team member you need most and expand as your business grows.

FAQ 3 – Are your virtual team members real people?
Our virtual team members are AI-powered digital team members supported by automation and human oversight.
We give them names and clearly defined roles because we believe business technology should be easy to understand. Instead of selling you complicated software, integrations and workflows, we build systems designed to perform recognisable jobs within your business.
Where human judgement or approval is appropriate, we build that into the process.

FAQ 4 – Are you trying to replace my employees?
No. White Tower can work alongside you and your existing team.
Our virtual team members are particularly good at handling repetitive, time-consuming and process-driven work that would otherwise take valuable time away from you or your staff.
For a small business without employees, they can also provide capabilities that might previously have required several different members of staff.

FAQ 5 – Will I still be in control?
Absolutely.
We design our systems around the principle of human in the loop. You decide how much autonomy each virtual team member has.
For example, Jessica can prepare an email response and leave it in your drafts for you to review before sending. Alternatively, certain routine communications can be automated where appropriate.
The objective isn't to remove you from your business. It's to remove unnecessary work from your day.

FAQ 6 – Can Jessica really work 24/7?
Yes. Automated systems don't need office hours.
Jessica can be configured to monitor and process enquiries outside normal working hours, meaning a customer contacting your business in the evening or at the weekend doesn't necessarily have to wait until the next working day.
Exactly what Jessica can do automatically will depend on the systems and approval rules we agree with you.

FAQ 7 – What can you automate?
Every business is different, but White Tower can help automate areas such as email and enquiry handling, customer follow-up, CRM updates, social media content, lead management, bookings, customer reminders, administrative workflows, payment links, invoice processes, payment chasing, reporting and repetitive data processing.
If something in your business follows a repeatable process, there is a good chance we can make at least part of it easier.

FAQ 8 – Do I have to change all my existing systems?
Not necessarily.
Where practical, we build around the systems you already use and connect them together.
During onboarding, we'll look at your existing setup, identify where time is being wasted and determine what can realistically be automated.
We're not interested in replacing technology simply for the sake of it. The objective is to make your business run better.

FAQ 9 – What does Sally, the Content Creator, do?
Sally helps keep your business consistently visible online without you having to create and schedule content every day.
She can help create, prepare and schedule content across platforms such as Facebook, Instagram and LinkedIn.
You can provide your own photographs, videos and branding assets, or we can help create suitable visuals for you.

FAQ 10 – Is the social media content written entirely by AI?
No, not blindly.
We combine AI-assisted creation, automation and human oversight. Content is structured around your business, services, tone of voice and objectives rather than simply generating generic posts and publishing them.
AI gives us enormous efficiency, but quality and brand alignment remain important.

FAQ 11 – Can I upload my own images and videos?
Absolutely.
You can provide your own photographs, videos, logos and branding assets, or ask us to help create imagery for you.
Many clients use a combination of both.

FAQ 12 – Can I approve content before it goes live?
Yes.
If you want an approval process, content can be made available for review before publication so you can make changes or approve it.
Other clients prefer us to simply handle the process for them.
We can build the workflow around the level of control you want.

FAQ 13 – How often can you post on social media?
Depending on your service, content can be scheduled daily, every other day or according to an agreed content plan.
The important thing isn't simply producing more posts. It's creating consistent, professional visibility without consuming your time.

FAQ 14 – Does Chloe guarantee leads or sales?
No responsible marketing company can guarantee a specific number of leads or sales.
Advertising platforms, competition, budgets, customer behaviour and market conditions are outside our direct control.
What Chloe can do is help manage the process professionally, improve consistency, monitor performance and help make sure your marketing activity is actually being carried out.

FAQ 15 – Do you take over my accounts?
No.
Your business accounts remain yours.
Where access is required, we use appropriate permissions, integrations and approved systems wherever possible. We don't want to lock you out of your own business or make you dependent on us simply to access your accounts.

FAQ 16 – Is my business data secure?
Security is extremely important to us.
We aim to give each system only the access it genuinely needs and use established third-party platforms and permission structures where appropriate.
No online system can honestly claim to be completely risk-free, but security and sensible access control are fundamental considerations when we design your virtual team.

FAQ 17 – Who owns the systems and content?
Your business data remains yours.
Content created for your business can be used by your business in accordance with your White Tower service agreement. White Tower's underlying systems, workflows, automation structures, methodologies and intellectual property remain the property of White Tower unless otherwise agreed.

FAQ 18 – Is there a long-term contract?
We don't believe clients should stay simply because they're trapped.
The cancellation arrangements for your particular virtual team members and services will be clearly explained before you start.
Our objective is to make the service valuable enough that you want your virtual team to stay.

FAQ 19 – Is there a setup fee?
This depends on the complexity of the virtual team member and the systems we need to build.
Straightforward services may require little or no setup, while more sophisticated bespoke automations may involve an initial build or integration cost.
Any setup cost will be agreed with you before work begins.

FAQ 20 – What businesses is White Tower best suited to?
White Tower is particularly useful for small and medium-sized businesses, owner-managed businesses, consultants, professionals, trades, local service businesses and growing companies that aren't ready to employ a large administrative team.
If you're regularly saying, "I haven't got time to do that," there's probably something your White Tower team can take off your desk.

FAQ 21 – Can I start with just one virtual team member?
Yes, and that's often the best way to start.
You might begin with Jessica handling enquiries, Sally taking care of your content or James automating an administrative process.
Once that system is working effectively, we can look at the next bottleneck in your business and add another member of the team.
Your White Tower team can grow with your business.

FAQ 22 – Can the virtual team members work together?
Yes. This is where the model becomes particularly powerful.
Your virtual team members don't have to operate independently. We can build workflows that allow different parts of your business to work together.
For example, an enquiry could be received by Jessica, recorded by James, followed up through your customer journey and eventually passed into a payment process supported by Paul.
Instead of creating isolated automations, we're able to build connected business workflows.

FAQ 23 – Will every White Tower setup be the same?
No.
The virtual team members have defined areas of expertise, but the way they work can be adapted to your business.
A receptionist for a heating company may need a completely different workflow from a receptionist for a consultancy, events company or professional practice.
We start with the job that needs doing and then design the technology around it.

FAQ 24 – How do we get started?

It's simple.

  1. Book a call with White Tower.

  2. Tell us what's taking up your time.

  3. We identify which virtual team member can help.

  4. We look at the systems you already use.

  5. We build and test the workflow.

  6. Your new virtual team member gets to work.

You don't need to understand AI, automation or complicated software.
Tell us the job that needs doing. We'll build the team member to do it.

Human-crafted content. Automated delivery. Zero daily effort.
